Every business relies on technology to serve customers, support employees, and keep operations moving. Yet many leaders assume everything is working as it should—until an unexpected disruption proves otherwise.
You don't need to be an IT expert to lead your organization effectively. You do, however, need visibility into the systems that support your business. The strongest organizations aren't the ones with the most technology; they're the ones that understand it well enough to manage risk, make informed decisions, and recover quickly when challenges arise.
As part of your midyear review, ask yourself these five questions.
1. Who has access to your critical business systems?
⚠️ Warning sign: "I think our IT provider knows."
✅ Strong answer: "We maintain a current list of employees, vendors, administrators, and user roles with access to every critical business system."
Knowing exactly who has access—and whether they still need it—is one of the simplest ways to reduce unnecessary risk.
2. If a critical system failed today, who owns the response?
⚠️ Warning sign: "We'll figure it out when it happens."
✅ Strong answer: "Everyone knows who to call, how issues are escalated, and how business operations continue during an outage."
When technology issues occur, every minute matters. Clear ownership reduces downtime and confusion.
3. When was the last time your backups were tested?
⚠️ Warning sign: "They're running automatically, so we assume they're working."
✅ Strong answer: "Our backups are tested regularly to verify they can successfully restore our systems and data."
Backups provide peace of mind only if they work when your business needs them most.
4. Do you know where your business data actually lives?
⚠️ Warning sign: "It's somewhere in the cloud."
✅ Strong answer: "We know where our data is stored, who can access it, and how it's protected."
Understanding where your information resides improves security, compliance, and your ability to respond quickly when problems occur.
5. Which outside vendors have access to your systems?
⚠️ Warning sign: "I'm not really sure."
✅ Strong answer: "Every vendor with system access is documented, reviewed regularly, and has only the permissions necessary to perform their work."
Third-party relationships are valuable, but unmanaged vendor access can become a significant source of cybersecurity risk.
These aren't technical questions—they're leadership questions.
Clear answers demonstrate visibility, accountability, and preparedness. Uncertainty often reveals hidden risks that become expensive only after a disruption occurs.
How did you do?
If you answered all five with confidence, your organization likely has strong visibility into its technology environment.
If you hesitated on two or more, it may be time for a structured technology review.
